This is a full-time, London-based, Executive Assistant (EA) role that will provide support to the Vice President, Product Management EMEA and Vice President, B2B Product Management within Global Commercial Services and ad hoc support to their respective teams.
Organisation and maintenance of two VP calendars with a high level of integrity and efficiency; being first point of contact and gatekeeper for VPs
Inbox Management: Proactive management and prioritisation of what is important and urgent, scheduling, organising and managing a high volume of meeting requests and appointments taking all time-zones into consideration; booking meeting/TP rooms; conference calls and catering where required
Managing complex global travel requests, visas and itineraries, scheduling meetings, organising the logistics and identifying travel costs within company guidelines
Timely preparation and processing of monthly expense reports in line with company policy
Action HR requests and assist with on-boarding/ off-boarding on VP’s behalf
Effectively managing relationships on behalf of the VPs with internal and external clients and liaising with other EAs and the Executive Office to coordinate meetings
Managing and submitting the monthly organisation charts for both VP’s teams in a timely manner to their Leader’s office. Maintaining the distribution lists for both teams; adding and removing colleagues when necessary
Assist with Team Events, Market Visits, Town Halls and Ad Hoc requests for the team
Nominated ‘space champion’ for both team areas in Belgrave House
Managing confidential documents, maintaining confidentiality and security procedures at all times

Demonstrable experience supporting senior-level executives and handling confidential and sensitive information with tact, diplomacy and discretion
Strong work ethic, self-motivated, a team player
Ability to multi-task and prioritise in an extremely fast paced environment
Strong interpersonal and communication skills with the ability to form professional relationships across all areas of the organisation
Excellent organisational and time management skills with strong attention to detail
Ability to be proactive and take initiative to anticipate the needs of a complex office
Demonstrated ability to remain calm under pressure and flexible to changing priorities
Proficient in Microsoft Outlook, Excel, Word, Power Point; able to learn quickly and manage internal software and systems and company intranet
