The Exec-Admin Assistant I is responsible for administrative support for the Vice President / General Manager of Cobrand Partnerships, within the U.S. Consumer Services division.  The VP’s office is a dynamic, high-paced environment and therefore the day-to-day responsibilities require seamless collaboration across a wide range of business partners both inside and outside of American Express.


The Executive Assistant position is an integral part of the team and needs to be extremely proactive in anticipating and adapting to the needs of a highly dynamic senior executive.  The ideal candidate must be seasoned and experienced in handling a wide range of administrative related tasks and be able to work independently and confidently under pressure. Building strong relationships, being resourceful and knowing how to navigate large organizations fluidly will also be critical to success in this position.


Day to day responsibilities include, but are not limited to:

  • Manage heavy calendar activity and coordinate meetings with partner teams (both internal and external)
  • Plan travel and build seamless itineraries with advance preparation for VP
  • Prepare, review, and process expense reports, in line with company T&E policy
  • Maintain VP’s monthly calendars, Basic Control Account, Conference Call Cards
  • Review all Ariba and other system requests to VP prior to approval
  • Process on-line Human Resources transactions
  • Support group administration including updating distribution lists / on boarding for new hires / setting up group-wide meetings (e.g., town halls)
  • Manage VP documents in both hard files and online systems
  • Support real estate management
  • Work closely with Director Assistant/Chief of Staff to coordinate VP office operations

  • Proficiency in Microsoft Outlook and Microsoft Office, including Word, Excel and PowerPoint
  • Strong working knowledge of common administrative systems and processes e.g., HR, purchasing, travel, expense management
