Job Description

• Managing daily calendars, showing flexibility and problem solving abilities to adjust or prioritize schedules based to last minute
changes
• Act as liaison with all levels of management, senior experts from across the company, high profile clients, and external stakeholders from all aspects of the business to disseminate
information to and from the Executives
• Travel, event planning, and coordination for individuals and groups
• Organize complex, domestic and international travel arrangements
• Organize and support meetings, teleconferences, off sites, and other events as needed 
• Provide strategic administrative & project management support such as meeting notes and
scheduling
• Ensure the executive is prepared & organized for all meetings, events & speaking arrangements
• Prepare and process Expense Reports
• Maintain business and personal files and mail as required
• Partner with other Executive Assistants to assure coverage and coordination for the senior leadership team
• Anticipate needs, and take a proactive approach for getting stuff done 
• Support executives with team-related administration and project management 
• Support orientation and training for new hires
• Promote team culture through off-sites and events
• Filter emails for Executive
• Go to contact for maintenance, mailing, shipping, supplies, equipment, bills and errands.
• Review and approve office supply and consumables purchasing

Qualifications

Basic Qualifications:
• Minimum of 2-3 years as an assistant to a vice president
• Bachelor’s degree or High school diploma with 5 years experience
Additional Qualifications:
• Adept with PC computers and standard office equipment. Proficient in Microsoft Office software: Word, Outlook, PowerPoint and Excel
• Professional and personable demeanor with an emphasis on composure, flexibility and discretion
• Strong interpersonal skills. Comfortable representing a department while interacting with individuals at all levels of an organization (both internal and external), particularly senior levels
• Exemplary oral and written communication skills
• Superior organizational and time management skills with the ability to anticipate, prioritize and fulfill multiple tasks with an acute attention to detail and deadlines
• Proven ability to act autonomously in day-to-day activities
